Hi, I’m Noah from Maven X. In this video we’ll see how Maven X uses automation to manage and send bi-annual site relevancy reports to our clients efficiently. This automation goes hand in hand with our other automation, Maven Web Site Relevancy Review – Maven X Notification.

In the case of our Maven Web Site Relevancy service, it includes the manual distribution of client reports, which can be time-consuming and prone to errors. Now let’s see how the automation works:

  1. Custom Webhook Trigger: The automation begins when a custom webhook is triggered, signaling that a site relevancy report is ready to be sent. This is done within our Airtable base where we manage the sites and site relevancy details. Once the report is ready to be sent to the client, the team member clicks a button that triggers the automation.
  2. Retrieve Client Information from Airtable: The automation pulls the relevant client and report details from Airtable.
  3. Download Report File: The report file is downloaded from Airtable.
  4. Create Email Draft in Gmail: A draft email is generated in Gmail, addressed to the site owner, with the report attached and key highlights included in the email body. The reason this doesn’t send immediately is that we add custom highlights to the report ensuring that the client can quickly glance at the email and be assured that their website is still performing efficiently.
  5. Send Slack Notification: A message is sent to the team via Slack, notifying them that the report email draft is ready for review and to add the remaining information to send the email.
  6. Update Airtable Record: The report status in Airtable is updated to ‘Delivered,’ and the delivery date is logged.
