1. Airtable Record Search: The automation starts by searching Airtable for all deals completed in the current month, retrieving key details such as the deal name, company name, and product names.
2. Aggregate Project Details: The automation aggregates these details to ensure all necessary information is captured and combined into single messages to the team.
3. Slack Notification: A message is sent to the team on Slack, announcing the number of completed projects and prompting them to update the Maven X portfolio with these new additions. As we like to individually call out project highlights in each portfolio item, this is a manual task to perform on the website.
4. Create Asana Task: A task is created in Asana for the marketing team, detailing the completed projects and instructing them to update the portfolio section on the WordPress site. This ensures that even if the Slack message gets buried, they have an actionable task to remind them.
5. Create Child Tasks: For the primary project task for the month, a subtask is added in Asana for each completed project to provide specific instructions and ensure that all completed projects are covered and added to the website.
