Hi, I’m Noah from Maven X. In this video we’ll see how Maven X uses automation to manage and send emails for noteworthy events like business anniversaries and birthdays, but also ensuring timely and personalized communication with our clients.

Problem Statement.

One common challenge businesses face is keeping track of and managing communications for special occasions such as client anniversaries and birthdays. Doing this manually can lead to missed opportunities and inconsistencies, potentially affecting client relationships.

High Level Explanation.

That’s why we created our Client Celebration Events automation. This solution ensures that every client receives personalized messages on special occasions, without requiring manual tracking or sending of emails. Not only this, we also want to celebrate our clients. It’s a part of the Maven X values. We love our clients and want to celebrate the time they’ve spent with us and make them feel special and to take some time to celebrate. This message allows us to have another touch point with our clients to chat and catch up.

Demonstration.

Now let’s see how the automation works:

1. Custom Webhook Trigger: The process begins when a custom webhook is triggered, indicating an upcoming noteworthy event like an anniversary or birthday. This automation is triggered by an Airtable automation that launches when the date of an event is today.
2. Retrieve Event Record from Airtable: The automation retrieves relevant event details and contact information from Airtable.
3. Router: It determines the type of event (e.g., anniversary or birthday) and routes the process accordingly.
4. Update Event Date: For anniversaries and birthdays, the date is updated to the following year in Airtable to ensure future automation.
5. Send Slack Notification: A message is sent to the team on Slack, notifying them of the event and indicating that email drafts are ready for review. These messages encourage any of the Maven X project managers who have worked with the client to personally reach out to the client and celebrate the occasion with them.
6. Create Email Draft: A personalized email draft is created in Gmail, with tailored content for the occasion, ready for team review and sending. These templates are different with a fun background to capture the client’s eyes.
