Hi, I’m Noah from Maven X. In this video we’ll see how Maven X uses automation to create our free Client Automation Assessment that is used through these automation videos!

This is part of our business automation series, where we showcase how automation has helped Maven X streamline operations, drive growth, and ensure precision. As you watch, consider how automation can save your business time, eliminate repetitive tasks, and enhance accuracy, ultimately boosting your productivity.

Problem Statement.

One common challenge businesses face is understanding how they can get and use automation in their businesses. Sometimes they just don’t understand it, they don’t know what automation can do, they don’t think that what they do can be automated, and the list goes on.

High Level Explanation.

That’s why we created our free Client Automation Assessment tool automation. This solution ensures that our clients and future clients have a free tool where they can receive interesting and automation-focused through provoking information to get them excited to automate their businesses!

Demonstration.

Now let’s see how the automation works:

1. Webhook Trigger: The automation starts when a custom webhook is triggered by a new client submission on the Client Automation Assessment form (which you can try yourself in the video description!)
2. Get Submission from Airtable: The automation retrieves the relevant submission record from Airtable.
3. Router – Submission Count: The process is routed based on the client’s submission count. In order to prevent abuse of the free tool, each client has a limited number of submissions. Our goal is to pique interest and have the user reach out to Maven X to further discuss the real details on how to integrate their automations.
   • Generate Response (If Client Has Credits):
     • OpenAI GPT-4: Generates a tailored automation suggestion using the client’s provided tasks and business information. A custom designed and generated prompt was made to ensure consistent responses but also allow the model enough freedom to get creative with the potential solutions for the clients.
     • Compile Markdown: Converts the generated suggestion into a formatted text for the email.
     • Update Airtable Record: Updates the submission record in Airtable with the generated suggestion so that Maven X can review the model accuracy and retrieve this information if the client is talking to us about their recommended solutions.
     • Send Email to Client: Sends an email to the client with the automation suggestion and additional information.
   • Notify Client (If Client Does Not Have Credits):
     • Send Email to Client: Notifies the client that they have surpassed their quota of free submissions and provides next steps to reach out to us for further discussion.”
