Problem Statement.
One common challenge businesses face is meaningful and timely re-engagement with clients. You can be losing out on revenue and income by leaving your past clients in the dust and not keeping up to date with their current needs and challenges. As business owners, we all know how keeping track of numerous clients and their engagement history can become overwhelming and prone to oversight.
High Level Explanation.
That’s why we created our CRM Annual Re-engagement Emails automation. This solution ensures that every re-engagement event is efficiently processed and sent to the client. As we have all of our financial information information in our custom Airtable CRM, we are able to create links between two different re-engagements to cover all of our clients; the last completed deal and the last payment. We have some clients who pay monthly service fees to us, so the last payment option wouldn’t cover them. So we track both ways to ensure both clients are contacted. The goal of both are the same… to reach back out to the client and just check in with them. We want to see how their business is doing, what new challenges they are facing, how our last project is holding up, and try to identify any new ways we can help them.

Now let’s see how the automation works:
- Webhook Trigger: The automation starts when a custom webhook is triggered, indicating it’s time for an annual re-engagement email. This webhook is triggered by Airtable when either the last linked deal completion date is one year ago or the last payment received by the client was one year ago.
- Get Company Record from Airtable: The automation retrieves the relevant company record from Airtable.
- Router – Re-engagement Type: The process is routed based on the type of re-engagement needed. This is to deliver different emails to both re-engagement types.
- For Last Completed Deal:
- Slack Notification: A message is sent to the sales team in Slack, notifying them of the re-engagement campaign and providing details about the last completed deal for quick reference.
- Create Email Draft: An email draft is created in Gmail for the sales team to review, customize, and send to the client.
